These terms govern the use of https://vipcartransfers.com and the services provided by VIP Car Transfers ("we", "us"). By requesting a quote or confirming a booking, you agree to these terms. Please review and adapt this document to your applicable legal requirements before relying on it, it is provided as a starting template, not legal advice.

1. Quote requests and bookings

• Submitting the booking form is a quote request, not a confirmed booking. No charge is made and no service is reserved at that stage.
• We reply by email with a quote covering the price, vehicle class and any applicable conditions for your journey.
• A booking is confirmed only once you accept the quote and we send you written confirmation.

2. Prices and payment

• Quoted prices are fixed for the journey described in the quote, including the stated route, date, time, passenger and luggage numbers.
• Material changes to the journey (additional stops, changed route, extended waiting) may adjust the price; any adjustment is communicated before or at the time of the change wherever possible.
• Accepted payment methods and payment timing are stated in your quote and confirmation.

3. Amendments and cancellations

• The cancellation terms applicable to your booking are stated in your quote before you confirm.
• Requests to amend a confirmed booking should be sent to us as early as possible by email or WhatsApp; we will always try to accommodate changes subject to availability.
• We reserve the right to cancel a booking where service cannot safely or lawfully be provided; in that case any amounts paid for the affected journey are refunded.

4. Punctuality and waiting

• For airport pickups we monitor your flight and adjust the pickup time to the actual arrival at no extra charge. Included waiting time after landing is stated in your quote.
• For other pickups, included waiting time and any charges for additional waiting are stated in your quote.
• If you cannot locate your chauffeur, contact us before leaving the pickup point so we can connect you; leaving without contacting us may be treated as a no-show.

5. Passenger obligations

• Passenger and luggage numbers must not exceed the capacity confirmed for the vehicle.
• Children must be secured in appropriate child seats as required by law; tell us the children's ages when booking so seats can be fitted.
• Smoking is not permitted in our vehicles. We may refuse or terminate carriage where behaviour endangers the driver, the vehicle or other passengers.
• You are responsible for any damage to the vehicle caused by you or your party beyond normal wear.

6. Luggage and personal belongings

• Please declare oversized items when booking so a suitable vehicle can be assigned.
• Belongings are carried at the owner's risk. We will make reasonable efforts to return items left in a vehicle but accept no responsibility for loss or damage to unattended property.

7. Delays and circumstances beyond our control

We plan generously and monitor conditions, but we are not liable for delays or failures caused by events beyond our reasonable control, including severe weather, road closures, accidents, strikes or acts of authorities. Where disruption is foreseeable we will inform you and propose alternatives.

8. Liability

• All journeys are performed by licensed chauffeurs in insured vehicles.
• Nothing in these terms limits liability that cannot be limited by law. Otherwise, our liability in connection with a booking is limited to the price paid for that booking.
• We are not liable for indirect losses such as missed flights, connections or events, except where caused by our negligence.

9. Subcontracting

To guarantee availability, journeys may be performed by carefully selected local operating partners to the same service standard. Your booking terms remain unchanged.

10. Privacy

Personal information provided with your request is handled as described in our Privacy Policy.

11. Changes to these terms

We may update these terms from time to time. The version in force when your booking is confirmed applies to that booking.
